Choose your alerts
The emails each owner and manager can turn on or off, from new reviews to the monthly recap.
Each owner and manager chooses their own alerts in Settings → All settings → Notifications. Staff don't get alerts.
Your choices
- Email me about new reviews: on by default. Includes the suggested reply.
- Approve from the alert: on by default. Adds a one-time approve button to new-review emails. See Approve replies from the alert.
- Always ask me to sign in: off by default. Approve links open the app instead.
- Email me when a customer texts back: on by default.
- Email me when a customer sends a private note: on by default. See Private notes and the page your link opens.
- Email me when a review may break Google's rules: on by default.
- Email me when a review goes missing: on by default. See Your review backup and missing reviews.
- Email me when Google doesn't publish a reply: on by default. See When Google doesn't publish a reply.
- Email me when a missing review comes back: on by default. Sent once each time a missing review shows again, with or without a dispute case. See Ask Google to look again.
- Email me when a review request fails: on by default.
- Daily digest: on by default, at 6 AM your business's time. See Your daily digest and weekly summary.
- Weekly summary: on by default, on Mondays at 7 AM.
- Monthly recap: on by default, on the 1st at 8 AM. See Your monthly recap.
If you turn on reply autopilot, its emails follow your new-review setting.
Text alerts
You can turn on Text me about new reviews and add My mobile number for alert texts. Your choice is saved, but alert texts aren't sent yet while carriers approve our texting.
Emails you can't turn off
A few emails always go to owners and managers, because something needs fixing:
- When a payment doesn't go through, your trial is ending or a pause is over. These go to the owner and anyone who can manage billing (on the Group plan, whoever has Manage billing switched on).
- When Google needs you to reconnect.
- When Google is showing no reviews on your profile, which can mean a restriction. See Your review backup and missing reviews.
- When texting stops working, once texting is on.
See When a connection stops working.
Holiday reminders and the monthly Google post email follow the business's Listings & social settings rather than these personal ones. They go to owners and managers who can change the listing.
If you look after some locations (Group)
On the Group plan, the owner can limit a manager to some locations (see Team and roles). A manager limited that way still chooses their own alerts here, and gets them for their locations only:
- New reviews, flagged, missing and returning reviews, replies Google didn't publish, failed requests, customer text replies and private notes: only for their locations. A review we couldn't match to a location goes to people with every location.
- The daily digest and weekly summary count their locations only, and say which ones.
- The approve and stop buttons only come when they can post replies. Private note emails only come when they can read private notes, and holiday and Google post emails only when they can change the listing. That's true for every manager, limited or not.
- Emails about the whole business don't go to them: the monthly recap, reconnecting Google or Facebook, texting, Google showing no reviews, and reply autopilot pausing at the monthly limit. Those go to the owner and managers with every location.
Setup check-ins
While setup isn't finished, owners and managers get a short email on days 3, 7 and 14 after signing up, naming the next step with a link to it. They come from our support address, so you can reply with a question. They stop by themselves once setup is done, and an owner or manager can turn them off for the whole business with Email setup check-ins in Settings → All settings → Getting started.
